Who can add content to Air?
👨👩👧👦 Supported on any Air plan
✏️ Anyone that has edit access to a workspace, library, or board
⬆️ Anyone that is a user of Air's content collection form
When working with Air, you have several ways to add assets to your workspace, including browser clipping, uploads, imports, and content collection. In this article, we'll explain the differences between these options and provide step-by-step instructions on how to add content to your workspace.
Methods for Uploading Content
There are several ways to upload content to your Air workspace. Let's explore each method:
Uploads
Open Uploads at the bottom of the main navigation rail, then choose Upload files to add files from your computer. The Uploads entry stays available throughout your session.
Add Button - File Upload
The Add button allows you to upload content from your computer. Here's how you can use the Add button to upload individual files:
Select the Add button in the top right of any workspace view
Select File Upload
Choose the files you want to upload from your hard drive
Confirm the location (board, library, or All assets & files) where you want to upload the content
Select Upload
Add Button - Folder Upload
The Add button allows you to upload content from your computer. Here's how you can use the Add button to upload folders and folder structures:
Select the Add button in the top right of any workspace view
Select Folder Upload
Choose the folder you want to upload from your hard drive
Confirm the location (board, library, or All assets & files) where you want to upload the content
Select Upload
Drag and Drop
Air's workspace supports a convenient drag-and-drop option. Simply drag a file or folder from your desktop or hard drive and drop it into your workspace. Follow these steps to use drag and drop:
Open the folder from your local drive containing the file or folder you want to upload.
Select, click and hold the files and/or folders.
Drag selection to the desired location in your workspace.
Release the selection as prompted.
Confirm the location (board, library, or All assets & files) where you want to upload the content
Select Upload
✅ Uploaded status check
Open Uploads at the bottom of the main navigation rail to monitor upload progress and completion for your current session in real time.
Air Web Clipper
Air Web Clipper lets you save images from the web directly into Air from a Chromium-based browser.
Right-click an image while browsing the web
Select Save to Air
Edit the asset name
Edit the description
Select the workspace name to choose a specific workspace if you have multiple workspace associations
Search for or click to select and save clip to a Canvas or Board you can access.
For the full browser-extension workflow, see Explore Air Web Clipper for Chrome.
Content Collection
With Air's Content Collection feature, collaborators outside of your workspace can directly add files to your boards. You can create a unique link and share it with others to upload assets.
A single Content Collection form submission can include up to 10,000 items. The item count includes every submitted board, folder, and asset, including loose files added by drag-and-drop or selected through the file picker.
Here's how to submit content using a Content Collection form URL:
Select files
From any live content collect form, choose 'Upload items'
Choose the files you want to upload from your local drive
Apply a description or custom field values to uploaded assets
Add content to destination workspace by selecting 'Submit items' and confirming submission
🚫 Unclickable submit button? 🚫
You must resolve any paused or failed uploads before you can submit. The Submit items button stays disabled until you resume, retry, or remove those items. Selecting Cancel in the uploader pane does not remove completed uploads.
Drag and Drop
Open the folder from your local drive containing the file or folder you want to upload
Select, click and hold the files and/or folders
While holding, drag selection to the form's window
Release the selection as prompted when a green + symbol appears
Apply a description or custom field values to uploaded assets and select Submit items
Add content to destination board by selecting 'Submit items' and confirming submission
From existing workspace
Workspaces and their libraries are built to be separate rooms in which assets are stored, but transferring assets from one workspace to another doesn't have to be difficult. Try adding an existing board and its assets to another Air workspace - no re-uploading needed!
Navigate to the board you wish to copy.
Under the Share button drop-down menu, select 'Share a link'
Ensure "Allow downloads" is enabled. Versions of assets will transfer to the new workspace by enabling the "Include versions" toggle.
From 'Link' tab, navigate to the "..." menu next to the generated URL and select "Preview link."
Select 'Save to Air workspace' from the "Save to..." drop-down menu.
From the 'Select workspace' modal, use the drop down to pick which workspace you'd like to copy the board
Select 'Save.'
Methods for Importing Content
Source content stays unchanged: Supported cloud imports create read-only copies in Air. They do not alter, move, or delete files or folders in the source service.
In Account Settings > Integrations Center, an authorized cloud-storage importer card opens the connected provider browser. If the account is not authorized, the card displays Link Account and starts the provider’s OAuth flow. Closing an importer launched from the catalog returns you to the Integrations Center.
Open Box, Dropbox, Google Drive, or SharePoint from its card under Workspace settings > Integrations, or select the provider from the Add/Upload import flow. After the importer opens, destination selection and importer behavior are the same regardless of the launch path.
Permissions: An importer uses the third-party account authorized during setup and can access only the files and folders that account is allowed to view. SharePoint may also require tenant-level API approval from your organization’s IT team. In Air, you need edit access to the destination board or library.
Once an import starts, you can follow it in the import status panel. Each import shows detailed progress and results, including how many items were discovered and imported, with files and folders included in those counts, the total import size, and item error counts when applicable. For account switching and sign-out steps after the importer opens, see Managing importer accounts.
Repeat cloud-storage imports: Air checks duplicates against the destination you choose. If you import the same cloud-storage folder into the same board, Air skips duplicates already in that board. If you import the same content into a different destination, Air adds the assets to that destination. If you import the same content into a different destination, Air adds the assets to that destination. To move content from Air to external storage, download the files manually, use Air Flow, or use the Public API for a programmatic migration.
Cloud-storage imports create one-time copies: Importing does not modify, move, or delete content in the source, and it does not maintain a live, bidirectional sync. To bring later source changes into Air, re-import the content or set up a custom automation.
Dropbox
👾 Dropbox's API limits access and transfer of your content. You may not see your full Dropbox due to these limitations. To add content from Dropbox that is shared with you try any of the below:
Request a transfer of ownership of the content you wish to import to Air
Make a copy of the content in Dropbox and import the copy
Download the content to your hard drive and use one of Air's methods for uploading content
Open Dropbox from its card under Workspace settings > Integrations, or select Dropbox from the Add/Upload import flow.
Open the Dropbox card from Workspace Settings > Integrations, or select +Upload a file and choose Dropbox.
Link your Dropbox account
Choose the destination board or library in Air.
Allow air.inc to access the files and folders in your Dropbox
Select the content or Dropbox folders you would like to import
Select Import
Box
Link your Dropbox account
Open the Box card from Account Settings > Integrations Center, or select +Upload a file and choose Box.
Link your Box account
Open Box from its card under Workspace settings > Integrations, or select +Upload a file and choose Box.
Choose the destination board or library in Air.
Review and approve the Box authorization request.
Select the content you wish to import
Select Import
Google Drive
⚠️ Google Drive shortcut limitation
Google Drive imports bring in original files and folders, not shortcuts or other references. If your Drive structure relies on shortcuts, you may need access to the source file or folder itself before the import will work.
Open Google Drive from its card under Workspace settings > Integrations, or select Google Drive from the Add/Upload import flow.
Open the Google Drive card from Workspace Settings > Integrations, or select +Upload a file and choose Google Drive.
Link your Google Drive Account
Choose the destination board or library in Air.
Allow Air to access your Google Drive
Select the content you wish to import
Select Import
Sharepoint
⚠️ Microsoft account access error?
If you see a Microsoft account access error when signing in to the SharePoint Importer, this is generally caused by Microsoft/API permissions set by your organization, not an issue with Air. Contact your IT team and ask them to grant API access and permissions for the SharePoint Importer. After IT approves the required permissions, you can log in and use the importer successfully.
Open SharePoint from its card under Workspace settings > Integrations, or select SharePoint from the Add/Upload import flow.
Open the SharePoint card from Workspace Settings > Integrations, or select +Upload a file and choose SharePoint.
Link your Microsoft account
Choose the destination board or library in Air.
Allow Air to access your Microsoft account
Select the content you wish to import
Select Import
To switch accounts, sign out, or resolve sign-in or access issues, use the controls inside the opened importer. These actions work the same regardless of the launch path.
To change the connected account from any launch path, open the importer, select your profile icon in the top-right corner, and choose Switch Accounts or Sign Out.
