I can't add a board user to my workspace even though I have permission. What is going on?

If you have permission to invite board users but the invite is blocked, the issue is usually tied to workspace status, plan terms, invite limits, role availability, or the workspace the invitee is joining. Check the items below before trying the invite again.

Check the workspace first

  • Confirm you are in the intended workspace before opening User Management or the board invite flow.

  • Invite people from that workspace’s User Management page, the board invite flow, or the workspace invite link.

  • Avoid sending someone to generic sign-up when they should join an existing workspace. If they sign up without accepting the email invite or opening the workspace invite link first, they may be prompted to create a separate workspace instead.

  • If your workspace uses approved email domains, confirm the invitee is using an approved domain and that admins assigned the right access level for domain-based joins.

Review limits, users, and pending invites

  • Make sure your subscription is active and does not have a past due balance.

  • Check active users, pending workspace invites, pending board invites, deactivated users, and board-only users. Depending on your workspace’s plan terms, these can affect whether new invitations can be sent.

  • Review the selected workspace’s Current Plan details. Current paid plans may allow unlimited users without extra per-user charges, while legacy, custom, or Enterprise contracts can affect board-user availability, limits, and costs.

Check the role picker

  • Confirm the role you want to assign is available on the workspace’s plan.

  • Basic and Starter workspaces may not include every role option. For example, Commenter or Viewer may not appear where those roles are not included, and Basic first-workspace onboarding presents Admin and Editor only.

  • The same Editor, Commenter, or Viewer invite flow can have different billing or availability outcomes depending on whether the workspace is on a current, legacy, custom, or Enterprise plan.

If the person only needs to view, download, review, or upload content externally, consider using share links or content collection forms instead of adding them as a workspace or board user.
