Get Started on Air as a Workspace Editor

Learn how to upload, organize, and collaborate on visual assets as an Editor on Air.

Welcome to your new creative home! As a Workspace Editor on Air, you are the primary creative collaborator. You have full creative control over content in this workspace, giving you the power to bring projects to life without hitting permissions roadblocks. Let's get you set up to hit the ground running.

Your creative superpowers

As an Editor, you have full content permissions across the entire workspace. Here is a look at what you can do day-to-day:

  • Upload and create: Add new assets to the workspace by dragging and dropping them directly into your browser.

  • Organize boards: Create and structure boards and sub-boards to keep your team's assets visually organized.

  • Tag and enrich: Apply tags and fill in custom field values to make assets easily discoverable.

  • Collaborate: Leave comments, annotations, and timestamped feedback directly on images and videos.

  • Download: Export original files or custom crops and frames whenever you need them.

  • Share: Generate customizable share links to send boards or individual assets to external partners.

  • Invite others: Add new Workspace Editors, Commenters, or board-only users to collaborate with you.

What is off-limits

While you have complete control over creative assets, certain administrative tasks are reserved for Workspace Admins and Owners. As an Editor, you cannot:

  • Access billing, invoices, or workspace plan details.

  • Modify global workspace settings.

  • Create or delete custom field types (though you can fill in their values).

  • Invite or promote users to Admin or Owner roles.

Workspace Editor vs. Board-Only Editor

It is helpful to understand the difference between your full workspace role and a board-only Editor. While you enjoy full workspace access to upload and organize content across all boards, you can also invite external collaborators to be an Editor on just one board. This gives them editor access to just a specific board without exposing the rest of your workspace. On current paid plans, these board-only collaborators are unlimited and do not require a paid user seat, though legacy plans may vary.

Your five-step quickstart guide

Ready to dive in? Follow these five simple steps to get active in your new workspace:

Explore your workspace

Take a look around the left sidebar to browse existing boards and get familiar with how your team organizes their visual content.

Upload your first asset

Find a board and drag and drop a file from your computer directly into the browser window to upload it instantly.

Tag and organize

Open your newly uploaded asset, click on the Info tab, and add a few tags or fill in custom field values like status or content type.

Click the "Share" button on an asset or board to generate a public share link, allowing external partners to view or download content.

Try Smart Search

Use the search bar at the top of your workspace to test out semantic search, finding assets based on descriptions of what is actually in the file.
