Get Started on Air as a Workspace Admin

Learn how to manage users, billing, and custom fields as an Air Workspace Admin.

Welcome to Air! As a Workspace Admin, you are the operational backbone of your team's workspace. You manage the people, plans, and settings behind the scenes so everyone else can focus on creating and collaborating.

What you can do

As a Workspace Admin, you have full administrative control over your workspace. Your key capabilities include:

  • Full content permissions: Upload, tag, comment, delete, and download any asset or board in the workspace.

  • Manage billing and plan details: Access and update your account billing information, view invoices, and manage plan tiers.

  • Invite and manage users: Add new workspace users, assign workspace roles, and invite external collaborators as board users.

  • Create and edit custom field types: Set up and customize workspace-wide fields to organize your library.

  • View and manage all workspace settings: Adjust approved domains, workspace names, logos, and general preferences.

Please note that advanced security features like SAML SSO and custom roles are Enterprise-only features.

Where to start

Setting up your workspace correctly ensures a smooth onboarding experience for your entire team. Here are the first five steps we recommend to get up and running:

Review and set up Workspace Settings

Select your workspace name at the top of the sidebar and open Workspace Settings. Here, you can update your workspace name, upload a logo, and configure an approved domain. Setting up an approved email domain ensures that new or returning teammates are automatically directed to your existing workspace when they sign up, rather than accidentally creating a new, duplicate workspace.

Invite your team

Navigate to Workspace Settings and select User Management. You can invite teammates by entering their email addresses directly or by generating a secure invite link to share with your team. Always use these official invite methods to grant access to your existing workspace rather than sending teammates to a generic sign-up page.

Create your board structure

Set up the foundational boards your team will use to organize visual assets. Remember that boards in Air act like folders, but with one key difference: assets can live in multiple boards simultaneously without taking up extra storage space.

Set up custom fields

Navigate to the Fields tab in your Workspace Settings to create custom fields that match your team's workflow (such as project name, status, or usage rights). Custom fields allow your team to filter, search, and categorize assets workspace-wide.

Review your plan and billing details

Head to the Invoices & Current Plan pages in your settings to review your plan details, update your payment method, and download receipts.
