Share links are completely free to use and easy to send to clients and external partners, post on social media or websites, and use for other public-link sharing needs. We've designed share links to be an easy and visually elegant way to provide your clients with a portfolio-like experience. Curate views of content within your workspace with easy to create and manage share links.

About share link activity: Air can show who visited a share link and can surface share link activity notifications. A visitor name shown in a notification may be visitor-provided or account-associated, but it does not confirm that the person is a verified internal workspace user. When a share link requires a visitor name and email, the visitor-provided name can appear in activity notifications. The visitor email address is collected separately and is not attached to assets as metadata or visible in the standard Air UI. Teams that need a record of collected visitor email addresses can contact Air support at help@air.inc for reporting assistance.

Review share link settings

Select Settings in any share link modal to control options such as downloads, visible versions, metadata visibility, comments, custom fields, name and email requirement, passcode protection, and expiration date. Available settings can depend on your workspace plan.

Metadata visibility: Show metadata controls whether visitors can see metadata for shared content. When Show metadata is turned off, Show custom fields and Allow editing custom fields are also unavailable.

Share an asset or file

When you have a single asset or file to get out to an external partner, vendor or client, create a share link for it in a few simple steps.

From the asset modal

  1. From the preview in your browser, select the 'Share' button in the top right of your window

  2. The URL will generate instantly with the link enabled and 'Allow downloads' toggled on by default

  3. Adjust the link to your preference

  4. Select 'Settings' in the share link modal to review and make any desired changes to the share link settings

  5. Under the 'Link' tab, copy the link and send, share, or post for anyone you want to access

From a board or workspace view

  1. Right-click or select the edit menu (three dots) for the asset/file you wish to generate a share link for

  2. From the edit menu, select 'Share a link;

  3. The URL will generate instantly with the link enabled and 'Allow downloads' toggled on by default

  4. Adjust the link to your preference

  5. Select 'Settings' in the share link modal to review and make any desired changes to the share link settings

  6. Under the 'Link' tab, copy the link and send, share, or post for anyone you want to access

In the Air mobile app, you can also open a board, use the link πŸ”— icon option to access a previously generated share link, then copy it or send it with your device's share sheet.

Share a board or sub-board

When you want to share a collection of your content on your Air workspace with someone that is not part of your team, sharing a board is a great way to get it done. Take these few simple steps to take your content of public.

A board or sub-board share link gives visitors access to that board or sub-board and its visible contents. It does not give visitors access to unrelated workspace content.

From the board view

  1. Select the 'Share' button in the top right of your window

  2. Select 'Share a link'

  3. The URL will generate instantly with the link enabled and 'Allow downloads' toggled on by default

  4. Adjust the link to your preference

  5. Select 'Settings' in the share link modal to review and make any desired changes to the share link settings

From 'Search'

  1. From any search that includes the board you want to generate a share link for, right-click or select the edit menu (three dots) for the board thumbnail you wish to generate a share link for

  2. From the edit menu, select 'Share a link;

  3. The URL will generate instantly with the link enabled and 'Allow downloads' toggled on by default

  4. Adjust the link to your preference

  5. Select 'Settings' in the share link modal to review and make any desired changes to the share link settings

  6. Under the 'Link' tab, copy the link and send, share, or post for anyone you want to access

From the workspace sidebar

  1. Right-click on the name of the board or hover over to reveal and select the edit menu (three dots) of the board you wish to generate a share link for

  2. From the edit menu, select 'Share a link

  3. The URL will generate instantly with the link enabled and 'Allow downloads' toggled on by default

  4. Adjust the link to your preference

  5. Select 'Settings' in the share link modal to review and make any desired changes to the share link settings

  6. Under the 'Link' tab, copy the link and send, share, or post for anyone you want to access

Share multiple items with Quick Share Links

Use a Quick Share Link to share any combination of items (boards, assets + files) from across your workspace without changing your board structure. Each Quick Share Link is an ad-hoc link scoped to the selected items.

  1. Select assets across one or more boards.

  2. Select Share to generate a single ad‑hoc link.

  3. Set your desired permissions and options in Settings.

Access or manage the link anytime from the Share Links tab in the side panel.

If downloads are enabled on an eligible share link, visitors can select multiple assets and use Export selection as from the shared view. This applies to selected assets, not just single-asset export.


Disable a Share Link

Disabling a share link affects only that link. Disabling a board or sub-board public link disables that board or sub-board URL, but it does not disable separate share links created for asset or file versions, Quick Share Links, or other selections that include the same content.

For an asset or file version

In Air, share links are tied to specific versions of an asset or file, not the full version stack. If you want to disable a share link for an asset or file:

  1. Locate the exact version the link was created from

  2. Open that version in the asset stack

  3. Select the Share button in the top right

  4. Toggle off 'Enable public link'

For a board or sub-board

  1. Open the board the link was created for

  2. Select the Share button in the top right

  3. Select Share a link

  4. Toggle off 'Enable public link'


Share with an internal workspace or board user

Anyone listed as a user of the workspace or board you are sharing from can be brought right to your content without a share link. Share links are great for external parties but viewing content within your workspace can have additional enhancements including saved filters. Follow these steps to share your workspace content internally.

  1. Open the view, board, library or asset you wish to share

  2. Apply any relevant filters or search terms that may be relevant for the intended party

  3. From your browser window, copy the full address in the URL field

  4. Paste or hyperlink the web address anywhere (email, text, Slack, bookmark...)

Content in your Air workspace can have controlled access depending on your settings + subscription plan. Before sharing, make sure the intended user will be able to see what you are sending:

  • Sharing from within a library? Check to make sure they have library access.

  • Sending an asset over with comments? Make sure they have access to the asset and any relevant boards; all comments associated with the asset appear based on their board access.
